Company event photos in one gallery, without asking anyone to install anything
PICVIN collects company event photos with a QR code: employees and attendees scan it, upload from their browser and the photos land in one private gallery. No app, no sign-up and no personal data asked of staff, with hosting on Cloudflare under EU jurisdiction and removal requests built in for the people in the photos.

The Christmas party photos are on forty phones
After a Christmas party, a team-building day or a conference, the photos exist. They are just spread across the phones of everyone who was there, and the ones that reach the internal newsletter are whoever remembered to email three. Asking people to send them to a shared drive rarely works, and a public hashtag is not an option for most companies.
PICVIN gives the event one QR code. Put it on the tables, the lanyards or the screen between talks. People scan it, upload what they took and the whole evening is in one gallery by the next morning, sorted by the time each photo was taken, ready for the intranet post or the ZIP download.
Which events it suits
Any internal or invited event where the people in the room are the ones taking the photos. One plan per event, so a company can run a gallery for the summer party and a separate one for the conference.
- Christmas parties and summer parties: the photos of the night, collected before anyone has gone home.
- Conferences and all-hands: attendees share the talks, the stands and the dinner in one place.
- Team-building days and away days: the whole team's photos, not just the organiser's.
- Product launches, openings and anniversaries: one gallery for staff and invited guests.
- Leaving dos and retirements: the colleague leaving gets every photo in one link.
No app and no personal data from employees
Employees do not install anything and do not create an account. They scan the QR code, the upload page opens in the browser and they choose their photos. PICVIN does not ask them for an email address or a phone number; a first name is optional and shown only next to their uploads.
That matters for a company. There is no software to approve, nothing to roll out to managed devices, and no list of staff emails sitting in a third-party app.
GDPR, EU hosting and removal requests
Photos and videos are stored on Cloudflare under EU jurisdiction, and PICVIN processes them on your behalf under the GDPR: your company decides what the event is and who gets the link, and PICVIN stores, displays and lets you download the photos, nothing more. We do not run face recognition or sell data.
Anyone who appears in a photo and would rather not can send a removal request from the gallery itself, with a reason, and it comes to the organiser to act on. You can also delete any photo from the dashboard at any time, and delete the whole event when it has served its purpose.
What it costs and how long it lasts
One payment per event, with no subscription and no per-user licence. The free trial starts with the first photo, lasts 3 days and allows up to 20 photos, so you can test it at a team lunch before the big event.
Standard costs US$10.99 and keeps the gallery online for 1 year. Premium, at US$21.99, adds video uploads and far more storage, which is the right plan for a conference. Permanent, at US$54.99, never expires. Stripe emails a receipt after every payment, VAT is included, and an invoice with your company details is available on request from the contact page.
Frequently asked questions
Do employees need to install an app or create an account?
No. Attendees scan the QR code with their phone camera and upload from the browser. No download, no account and no email address is asked of them.
Where are the company event photos stored?
On Cloudflare, under EU jurisdiction. PICVIN acts as processor for your company under the GDPR and uses the photos only to store them, show them in your private gallery and let you download them.
What if an employee does not want to appear in a photo?
They can send a removal request from the gallery, choosing a reason, and the organiser receives it. The organiser can delete any photo from the dashboard at any time.
Can we get an invoice for the company?
Yes. Stripe sends a receipt after every payment, and if you need an invoice with your company's tax details, write to us from the contact page and we will send it.
Can attendees upload videos too?
Yes, on the Premium and Permanent plans. Videos are uploaded the same way as photos and sit in the same gallery.
Can we run several events?
Yes. Each event has its own gallery, QR code and plan. Create one for the Christmas party and another for the conference, and pay once for each.

All guidesCompany event photos: how to collect them from employees and share them back
The way to collect company event photos is to give everyone in the room one QR code that opens a private gallery in their browser, with no app, no account and no personal data asked of staff, and then share the same link back the next day. It replaces the shared drive nobody uploads to and the public hashtag HR will not allow. This guide covers the setup, the consent and GDPR points to settle before the event, and how to get the photos onto the intranet afterwards.

How to make a QR code for wedding photos
A QR code for wedding photos is just a link printed as a pattern, so the real question is where the link goes. The three options are a shared album in Google Photos or iCloud, a cloud folder in Drive or Dropbox, or a guest gallery built for events such as PICVIN, which gives you the QR code ready-made and asks guests for no app or account. This guide covers all three, then how to print and place the code.

A shared album for wedding guests: why Google Photos, iCloud and WhatsApp fall short
A shared album for wedding guests sounds free and easy, but Google Photos asks guests to sign in, iCloud shared albums let only Apple users add photos, and a WhatsApp group compresses everything and buries it under messages. Each of them loses a chunk of your guests and a chunk of your photos. The alternative is a gallery that opens in any browser from a QR code with no account, which is what PICVIN does. Here is what each option actually asks of your guests.
